The Regulations specify the conditions for application and participation in the Event named: “Hydrogen Mixer”.
Definitions:
1) Event: Hydrogen Mixer - an international meeting dedicated primarily to local governments, local government organizations, associations, and manufacturing and service entrepreneurs in the hydrogen industry, to be held on Tuesday, November 19, 2024, in Zielona Gora, the Republic of Poland, hereinafter referred to as the “Event”.
2) Participants of the Event: Participants registered on or before October 30, 2024, are divided into the following categories of entities: Event Organizer, Event Co-Organizers, Partners, Sponsors, Public Institutions and Entities, Key Participants, Manufacturer Companies, Suppliers. The Coordinator, after closing the registration, decides to which category mentioned above a given entity declaring willingness to participate in the Event will be assigned.
3) Co-Organizers, Partners, Sponsors: Entities qualified by the Organizer to participate in the Event after concluding appropriate agreements, hereinafter referred to as “Event Supporting Entities”.
4) Guests: Event Participants registered between October 31, 2024 and November 8, 2024, who will benefit from the non-personalized program and who will be covered by terms and conditions different from those granted to Event Participants.
5) Rotating Tables: Meeting tables where Event Participants and Guests will have the opportunity to speak primarily with representatives of OEMS/EPC companies, Suppliers, Institutions from the energy industry, local governments. Each rotating table during one session provides space for up to eight (8) Representatives and one (1) Moderator.
6) Moderator: an administrative person serving one Rotation Table on a permanent basis, fluent in Polish and English.
7) Application Form: a form used to apply for participation in the Event and Registration and allowing Event Participants and Guests to purchase a ticket for the Event, located on the Event website: www.h2mixer.pl
8) Key Participants: sector entities that have their table for bilateral meetings with advance reservation. The coordinator has the right to make some exceptions as to the company that falls into this category.
Organizer and Co-Organizers of the Event.
1) The main organizer of the Event is: Lubuskie Association of Hydrogen and Biomethane H2OZE, (address: 9 Ogrodowa Street, 68-120 Ilowa), entered in the Register of Associations, Other Social and Professional Organizations, Foundations and Independent Public Health Care Institutions under the KRS number: 0001053514, with the NIP number 9241923449, REGON number 526138748, hereinafter referred to as the “Organizer”.
2) The co-organizer of the Event is: Dolnośląska Dolina Wodorowa Association based in Wrocław (address:Marszałka Józefa Piłsudskiego 74 lok. 320, 50-020 Wrocław), having. numbers NIP 8971906262, KRS 0000972699, REGON 522074419, hereinafter referred to as the “Co-organizer”.
3) The second Co-organizer and coordinator of the Event is: BGC Group Prosta Spółka Akcyjna with its registered office in Wrocław, (address: Ks. Piotra Wawrzyniaka 6, 53-022 Wrocław), entered in the Register of Entrepreneurs of the National Court Register kept by the District Court for Wrocław-Fabryczna in Wrocław, VI Economic Department of the National Court Register, under the KRS number: 0001003380, having the numbers NIP: 8992681839, REGON: 021094068, share capital: PLN 1,302,000.00, hereinafter referred to as the “Coordinator”.
The event will consist of the following parts:
1) Presentations,
2) Discussion Panels,
3) Rotating meetings - meetings of Event Participants and Guests at rotating tables in the form of sessions, during which Event Participants and Guests will have the opportunity to introduce themselves, make a short presentation and talk primarily with representatives of OEMS/EPC companies, Suppliers, Institutions from the energy industry, local governments. One meeting session will last 20 minutes, during which each Event Participant or Guest will have about 2.5 minutes to present themselves and the Company, Organization or Association they represent. At the end of each meeting session, Event Participants and Guests will move to the next table, according to their “individualized program. The Organizer reserves the right to make changes to the meetings at the rotating tables depending on logistical possibilities, organizational requirements and unforeseen changes of Event Participants and Guests and their Representatives.
4) Bilateral meetings with advance booking - the Event will be attended by official delegations of Local Governments and Companies of significant industrial importance to the hydrogen and energy industry referred to as Key Participants. Key Participants will have the right to accept or reject the meeting request addressed to them. One session of the bilateral meeting will last 20 minutes. Companies that complete the registration procedure will receive a list of Key Participants from the Coordinator to whom they can direct their meeting request. The Organizer reserves the right to make changes in bilateral meetings with advance booking depending on logistical possibilities, organizational requirements and unforeseen changes of Event Participants and Guests and their Representatives.
Registration.
1) In order to participate in the Event, especially in the Meetings referred to in Section 3 (1) and (2), you must:
a) purchase a ticket and pay the other fees referred to in Section 4,
b) apply for participation by submitting a completed Application Form, which is available at: www.h2mixer.pl no later than October 31, 2024.
2) Details of the application will be specified in the invitation or on the Organizer's website.
3) Participants who apply between October 31, 2024 and November 8, 2024 will be qualified as “Guests” and will be included in the “non-personalized” program.
4) Making an application after October 30, 2024 does not guarantee participation in the Event. In this case, the Coordinator reserves the right to accept the application or refuse to participate in the Event, at his/her discretion.
Price list for tickets to the Event
The types of packages for participation in the Event with specifications and a list of other fees will be published on the website www.h2mixer.p and included in the Application Form.
The ticket price includes:
1) admission to the Event and participation in the Presentations, Discussion Panels, and Meetings (rotating or bilateral) organized as part of the Event, in accordance with the present Regulations;
2) “food & drink” catering services (hot and cold buffet);
3) support from Event staff
4) on-site English and Polish interpretation services
5) a set of advertising materials from the Event
6) free unguarded parking at the Event site, at the location indicated by the Organizer, until the limit of spaces is exhausted; the availability of parking spaces is determined by the order of arrival of Participants and Guests to the Event.
The Organizer reserves the right to change the terms and conditions of participation in the Event, to make individual arrangements with individual Event Participants or Guests, granting discounts or rebates, which will not change the relationship between the Organizer and the Event Co-Organizer and the other Event Participants and Guests.
The number of available seats for the Event is limited. If the number of available places for Event Participants and Guests is exhausted, the Organizer has the right to terminate the registration process before October 30, 2024, notifying the Event Participants and Guests in the manner it chooses.
Those who have not completed the registration process or paid for the ticket by November 12, 2024. , will not be allowed to participate in the Event.
The Organizer reserves the right to make changes regarding the terms and conditions and program of the Event. The Organizer will inform about any changes on the Event website, by email or by phone (in the case of registered Event Participants or Guests). Each Event Participant and Guest will receive an individual Program for participation in the Event and its individual parts during registration on the day of the Event.
The Organizer reserves the right to make changes to these Regulations. Such amendments shall take effect immediately, after informing the Event Participants by posting the amended Rules and Regulations on the Event website or by any other means at the Organizer's discretion.
In the event that an epidemic or pandemic, state of emergency, state of natural disaster or other state of emergency is declared in the Republic of Poland or in the Lubuskie Province, in order to allow the Event to be held during the restrictions related to the state of epidemic or state of epidemic emergency, the Organizer may hold the Event in a hybrid manner, i.e. with an additional option to participate in the Event or some parts thereof by means of distance communication (online form). If required by the restrictions in force in the Republic of Poland or in the Lubuskie Province, or if the welfare of the Event Participants and Guests requires it, the Organizer may order exclusive participation in the Event in the online form for particular Participants or Guests or particular categories of Participants.
Your application for participation in the “Hydrogen Mixer” event is tantamount to your consent for the Organizer, Co-Organizer and Coordinator of the event to process the personal data provided in the Application Form, to the extent necessary to carry out the duties of the Organizer, Co-Organizer and Coordinator exclusively for the purpose of participation in the Event, for the period necessary to carry out all the duties of the Organizer, Co-Organizer and Coordinator related to the organization of the Event, but no later than until you withdraw your consent to data processing. Providing personal data is voluntary, but necessary to participate in the “Hydrogen Mixer” event.
Your application for participation in the “Hydrogen Mixer” event is tantamount to your consent for the Event Coordinator to process the personal data provided in the Application Form for marketing purposes related to the promotion of products and services offered by the entities comprising the Bosetti&Stokłosa Consulting group of companies until you withdraw your consent to data processing.
The data of the submitted Event Participants and Guests are processed by the Organizer, the Co-Organizer and the Event Coordinator and may be made available for processing to the Main Sponsor, and the Event Partners for processing only to the necessary extent and only for purposes related to the Event, including marketing purposes.The list of entities to which the personal data of Event Participants and Guests provided in the Application Form will be made available for processing for the purposes described above will be made available by the Organizer) on the Event website www.h2mixer.pl no later than on the day of the Event.
The Organizer, the Co-Organizer and the Coordinator, as well as the Companies of the Bosetti&StokłosaConsulting Group, while realizing the goals and tasks related to the organization of the “Hydrogen Mixer” Event, process your personal data in accordance with the generally applicable legal regulations.
In order to fulfill the information obligations arising from Articles 13 and 14 of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation) (Official Journal of the EU L 119, p. 1). - hereinafter referred to as RODO, the Organizer, the Co-Organizer and the Coordinator provide the opportunity to read the full Information Clauses of the Organizer, the Co-Organizer and the Coordinator, respectively, regarding the processing of personal data, located on the Event website: www.h2mixer.pl.
By applying for participation in the Event, you agree that the Organizer, the Co-Organizer and the Coordinator may use the logo and name of the Event Participant, as well as process the image of the Event Participants, for purposes related to the promotion of the Event, its organization and information about the Event.
The Organizer and Coordinator reserve the right to obtain and use the name and logo of the Event Participant's company in marketing materials used to promote the Event by submitting a list of registered companies, called Event Participants. If the Participant does not agree to the above and wants his/her logo to be removed from the Event's marketing materials, he/she is obliged to make his/her request explicitly in documentary form, by e-mail sent to: mixer@bosetti.pl , no later than November 10, 2024.
The Organizer, the Co-Organizer and the Coordinator undertake to use available resources in a proper manner, however, this does not create any obligation to guarantee nor does the Organizer, the Co-Organizer and the Coordinator guarantee the Event Participants to achieve any business results in connection with their participation in the Event.
Payments for the purchase of tickets for the Event and the payment of other fees, to which the Participant of the Event is obligated based on individual arrangements made with the Organizer or the Coordinator, will be made by bank transfer. The Coordinator will make available 2 bank accounts where payments will be made, in the following currencies: PLN (Polish zloty) and EUR (Euro). The Participant will receive the bank account numbers, along with the details for international transfers, via email, at the address indicated in the Application Form, after successfully completing the registration process for the Event (Stage A and B). In order to confirm the registration, within 36 hours from the end of the registration process, the Event Participant is required to send a confirmation of payment to the email address: mixer@bosetti.pl.
The Organizer and the Event Coordinator are not responsible for the intermediaries responsible for the implementation of the aforementioned bank transfers (banking and financial institutions, etc.).
The Organizer and the Coordinator reserve the right to change the date and place of the Event in the event of force majeure or the occurrence of extraordinary fortuitous cases and circumstances, impossible to foresee. Force majeure within the meaning of these Regulations shall mean any unforeseeable situation or event, of an exceptional nature, remaining beyond the control of the Organizer, Co-Organizer or Coordinator, preventing the Organizer or Co-Organizer and or Coordinator from fulfilling the obligations set forth in the provisions of these Regulations, , not resulting from the fault, error or gross negligence of the Organizer, Co-Organizer or Coordinator. In such case, Event Participants shall not be entitled to any compensation or claim for reimbursement of the cost of purchasing tickets or paying other fees.
The Organizer and/or the Coordinator shall have the right to cancel the Event, and shall be obliged to immediately inform the Event Participants of this fact. In such a case, the registration applications will be considered cancelled and the Organizer will be obliged to refund to the Event Participants only the amounts paid for the Event tickets without any obligation to pay any additional remuneration or compensation, in particular to reimburse other costs incurred by the Event Participant.
If an Event Participant cancels participation in the Event or does not participate in the Event for reasons beyond the control of the Organizer or the Coordinator, he/she will not be entitled to claim a refund of the amount paid for the tickets for the Event ). and furthermore the Event Participant will not be entitled to claim any compensation or demand for reimbursement of other costs incurred by the Event Participant.
The Coordinator reserves the right to refuse the Participant's participation in the Event without having to justify its decision.
The Organizer and the Coordinator are not liable for any damage caused to Event Participants by third parties, in particular by other Event Participants. Participants of the Event are required to have their own liability insurance to cover any damage that may be caused to third parties by themselves, their employees or persons acting on their behalf or on their behalf, or as a result of activities performed by their employees and persons acting on their behalf or on their behalf. In addition, Event Participants are required to carry their own insurance to cover any damage to equipment and materials owned by them that they bring with them to the Event. Neither the Organizer nor the Coordinator shall be responsible for any items belonging to the Event Participants left on the Event premises or in the checkroom.
The Organizer is not responsible for the absence of other Event Participants or for the cancellation of participation in the Event by Participants. The Organizer does not guarantee that OEMS/EPC delegations will be present at bilateral meetings/- Participation in the Event is voluntary.
Any violation of the provisions of these Regulations by a Participant of the Event, may entail deprivation of the Participant's right to participate in the Event by the Organizer or Coordinator, whereby the Organizer or Coordinator is obliged to inform the Participant of the above in documentary form. In such a case, the Participant shall not be entitled to any refund or compensation.
By registering, the Participant accepts the terms and conditions of these Regulations.
In case of a dispute, the Participant is first obliged to report his/her demand to the Organizer and attempt to resolve it amicably. If an amicable agreement is not reached, the competent court to resolve the dispute shall be the court having jurisdiction over the Organizer's headquarters.
The official language of the event is Polish and English.
These Regulations are governed by Polish law.
The Rules and Regulations shall come into force and effect for all Participants of the Event from the date of publication of the Rules and Regulations on the Event's website.
